1. All students are expected to have read, understood & agreed to the terms & conditions below

  1. All students and/or applicants of any service provided by United College London including services provided by the college’s partnerships, confirm that they have read, understood & agreed to the terms & conditions below.
  2. Please note that at this time United College London can not assist with applications for UK VISAS.
2. Deposits – Payment

  1. All fees are payable in Pounds Sterling.
  2. To book a place on the course, students must submit a non-refundable registration fee of £50 and course deposit of £450 (excluding ESP Courses and English & Acting Course, where tuition fees must be paid in full in advance). Please, in all cases, make sure to pay all bank charges at your end.
  3. If you want accommodation, you must also pay: a non-refundable accommodation placement fee of £45 and an accommodation deposit of £150 if you choose homestay accommodation. If you are making a booking less than 30 days before the start of your course, you must pay for your accommodation immediately.
  4. You must pay your deposit and the registration fee and provide a copy of the bank transfer within 3 days of making your booking, and the rest of your fees in full 30 days before the first course starts (excluding ESP Courses and English & Acting Course, where tuition fees must be paid in full in advance). If you are making a booking less than 30 days before the start of your course, you must pay total fees in full immediately. If you make any changes (including postponing or cancelation of a course) after your booking has been confirmed you will be charged £50.

3. Extending your booking

  1. It is usually possible to extend your booking while you are here. The extra fees you pay will be based on the length of your original booking. For example, if you originally booked 12 weeks on the General course and extend by 5 weeks, you will pay for these 5 weeks at the 12-week rate. You must pay full fees in order to guarantee a place.

4. Cancellation, Postponing a course & Refunds
Important note: You must be insured to avoid losing fees. Bank transfer charges for all refunds due will be at your end. If you cancel or postpone your course at any time, and accommodation has been arranged, we will not refund the accommodation fees, and the accommodation placement fee, for any reasons, even if your cancellation is caused by a visa refusal.

  1. If you want to cancel a course, you must do so in writing. You may cancel on the following conditions:
    • more than 30 working days’ (Monday–Friday) notice before the course begins: 50% penalty
    • 29 working days to 15 working days’ notice before the course begins: 75% penalty
    • less than 15 working days’ notice before the course begins: 100% penalty.
  2. If you want to postpone a course, you must do so in writing. You may postpone on the following conditions:
    • you must pay the full course fees by the original starting date of the course booked, and
    • you must take the postponed course within 3 months of the original starting date.

    If you postpone a booking, we will give you a credit towards the postponed booking as follows:

    • 30 working days’ notice or more before the course begins: 50% credit of course fees paid
    • less than 30 working days’ notice before the course begins: no credit of course fees paid.
  3. A postponed booking cannot be postponed again or cancelled.
  4. If you postpone One- to – One Tuition (including combination courses) with less than 30 working days’ notice, you will not receive any credit of your fees.
  5. . If you cancel your booking because of a visa refusal, we will refund 50% of the fees that you have paid if you send us a copy of the visa refusal letter issued by the British Embassy/Consulate. You must do this at least 30 working days before your course is due to start. If you notify us later, we reserve the right to charge you in line with our normal cancellation terms. Please note that it is your responsibility to apply for your visa in good time.
  6. If a student’s VISA application is refused on the grounds that the student failed to provide necessary documents, demonstrate adequate financial support, or for other reasons which the student is accountable, the college accepts no responsibility to refund. The student is held responsible if the visa application was made late and their enrolment at United College London has already been processed.
  7. If a student is denied entry to the country for any reason the school accepts no responsibility to refund.

Important note: it is your responsibility to arrange suitable insurance to avoid losing fees in the event of unavoidable cancellation or postponement.
Note that our terms apply even in the case of unforeseeable ‘force majeure’ events, which may not be covered by insurance.

5. Changing your booking
Any changes to bookings once they have been confirmed will incur a charge of £50. The only exception is for course extensions made after arrival.

  1. If you give us less than 30 working days’ notice, you may be able to change a course booking, but this is at our discretion.
  2. If you change from a more expensive course to a cheaper one with less than 30 working days’ notice, we will not give you any refund, either in cash or in extra lessons.
  3. If you change from a cheaper group course to a more expensive group course, you will have to pay extra, but we will always give you a credit of the fees you have paid.
  4. . If you change from a group course to One – to – One Tuition or to a Combination course with less than 20 working days’ notice, the One – to – One Tuition must be at least 15 hours per week. In this case we will give you credit of 100% of your weekly group course fee per week of One – to – One Tuition.
  5. If you change your course after you have started in the school, you must pay a rebooking fee of £50 for every change, unless we have advised you to move between the courses.

6. After arrival

  1. Upon arrival, students must provide appropriate photographic ID (including a Passport or ID card) and a copy of their Visa. The School will take copies of all relevant documents. All information will be stored in accordance with the Data Protection Act.7. You are also required to provide, and keep up-to-date, your contact details in London and next of kin contact details in your own country. On your first day you may miss one or more lessons because of the time needed to administer the entry test, complete registration and travel to your school.
  2. United College London cannot guarantee a particular course, timetable until you have finished the entry test at the school. Every attempt will be made however to place you in the course of your choice. In the event of insufficient enrolments for a course, the school reserves the right to offer an alternative course of equal value. United College London reserves the right to change course programmes, classrooms, teachers and locations without prior notice in the event of unforeseen circumstances beyond our control or if in the best interests of the school.
  3. If your level of English is unsuitable for the course you have booked, we reserve the right to move you to a more suitable one, or to refuse you admission to the school. If we move you to a more expensive course as a result, you will have to pay the difference. If we move you to a cheaper course, you will not receive any refund.
  4. If your level is too low to join a group course, we may offer you a programme of One – to – One Tuition at our current rates, subject to availability. Because this will be more expensive, you can choose either to pay extra and maintain the full length of your booking, or to pay the original fees and shorten your studies. If your total time with us becomes shorter, we will calculate your fees based on the new course length.
  5. We reserve the right to close classes & courses that are poorly attended or undersubscribed & offer students alternative courses/schedules to an equivalent value; change published course & accommodation information, including fees.
  6. We try to run all advertised courses, but we reserve the right to cancel courses where this is unavoidable. In this case we will always offer you an alternative.
  7. We reserve the right to hold our courses at either London centre or at a suitable offsite location, irrespective of the published location. Although we will always try to respect the stated maximum class size, we reserve the right to exceed it by one.
  8. If you have come to us through an agent, their Terms of Contract may apply to you, but we reserve the right to apply our own Terms.
  9. About the work placement most students will be required to attend an interview before starting the internship and/or the work placement and we will give the student all the job details. If the student is not successful, we will offer a maximum of 5 interviews for placements in total. If the student is successful, they must accept the placement that meets their original request. If the student is unhappy with the company, we will offer a maximum of 2 alternative placements. Please note that the internship fee/work placement fee is included in the tuition fees for an internship or work placement of maximum 24 weeks. Supplement for placements of 25 weeks or more: £190
  10. Certificates: All students receive a certificate at the end of the course confirming level of study and attendance.
  11. We reserve the right to hold our courses at either London centre or at a suitable offsite location, irrespective of the published location. Although we will always try to respect the stated maximum class size, we reserve the right to exceed it by one.
  12. Progress tutoring: occasionally you will have a 5 minute meeting with your teacher. About 20-30 minutes per week of class time will be used for personal meetings, while the class carries on with work set by the teacher

Please note: We reserve the right to raise our prices at any time in line with our suppliers. All programmes subject to availability and minimum class students.

7. Attendance

  1. Students must provide the college with competent explanations for all absences. Any absences of 3 days or longer must be accompanied by a doctor’s certificate.
  2. If a student is unable to attend lessons due to any kind of problems with the law, then the college accepts no responsibility and no refunds will be made.

8. Conduct and Behaviour

  1. Students must at all times comply with the Student Code of Conduct
  2. The college reserves the right to expel a student without refund in the event of breaching the Student Code of Conduct. The School’s decision is final.

9. Holiday policy

  1. If you are on a course of more than 12 weeks – fixed courses excluded – you may take a holiday of two weeks every 12 weeks, after approval by United College London, without losing your course fee for this period, providing two weeks’ notice is given. If you are staying in homestay accommodation and wish to take a holiday, you must give two weeks’ notice to the school. To leave your luggage at the homestay during your holiday you must pay a £70 retainer/week. In all other accommodation, you will be charged the full weekly rate during your holiday period and may leave your luggage in your room.
  2. General English, Business English and Academic Year Courses’ holidays, after approval by United College London:
    28 week programme: 4 weeks’ holiday,
    36 and 42 week programme: 6 weeks’ holiday,
    48 week programme: 8 weeks’ holiday.
    There is an extra 2 weeks’ holiday during the Christmas period.
  3. One-to-One lessons: requests for a change to your timetable must be made two weeks in advance.
  4. Public holidays » Please check our site for more information about this year’s public holidays. There is no reduction in the fee when a course includes a public holiday.

10. Photography

  1. Sometimes United College London or our representatives take photographs and videos during our courses which may be used for promotional purpose. Please, advise us at the time of booking if you do not wish to appear in any promotional material.

11. Accommodation Information

  1. Arrival and departure: accommodation is booked from Sunday to Saturday (7 nights). Apartments, Studios, Hotels can be booked from other days, subject to availability.
  2. First and second choice of accommodation: Please, always include a second choice of accommodation on the Application Form. Where the first choice of accommodation is not available we will book the second choice.
  3. Arrival times: it is not always possible to arrive at accommodation before 7:00 or after 22:00. Please check with us before making travel arrangements.
  4. Students age 16 and 17, without a guardian in the UK, must stay with a homestay. They must book an arrival airport transfer unless a guardian (over 21 years) is meeting them at the airport.
  5. For homestay accommodation all rates are per week and include breakfast unless otherwise stated. They may vary without notice and are subject to availability. Please note that if a third party accommodation provider increases their prices this cost will be passed on. We have negotiated year round rates with all the accommodation providers that we use.
  6. Accommodation is located in zones 1, 2 and 3 with an approximate travelling time of 10-55 minutes (or longer in the summer) by underground, mainline or bus. During the summer we may also use homestays in zone 4.

12. Homestay accommodation

  1. Homestay accommodation is only available while you are taking a course in the college, including any time necessary to take an exam connected with your course, and in multiples of whole weeks.
  2. Homestay accommodation is booked from the day before your course starts to the day after it ends. If you want to arrive earlier, or leave later, we will try to arrange this at a rate of £40 per night (bed and breakfast) but we may have to offer you an alternative such as a hotel for the extra nights.
  3. If you cancel your homestay with less than 30 days’ notice, you will not receive any refund.
  4. The accommodation placement fee is non-refundable whenever you cancel it.
  5. If you want to leave homestay accommodation while you are in the school, you must give 15 days’ notice. If you leave homestay accommodation because you are unhappy there, we will find you another accommodation as long as your decision to leave is reasonable.
  6. You must pay the full amount of the accommodation along with your tuition fees.
  7. We recommend that you reserve accommodation for the whole time you are in the school. If you reserve accommodation for a shorter period than your course, and then wish to extend it, you must give us at least 3 weeks’ notice. We will do our best to extend it, but we cannot guarantee to do so. If you give us less than 3 weeks’ notice, and it is necessary to move you to a new homestay, you will have to pay a supplementary accommodation placement fee of £45.
  8. If you take a holiday break during a long course, you may be able to remain in your homestay, but this is not guaranteed. If you wish to leave your homestay at this time, you must give us at least 3 weeks’ notice. We will try to arrange for you to return to the same accommodation, but we cannot guarantee to do so and if you need a new homestay you will need to pay a new accommodation fee of £45.
  9. You are liable to pay for any damage that you cause at your accommodation.
  10. The college’s accommodation service acts as an agent in introducing you to your accommodation host. The contract is between you and your host.

13. Transfer

  1. Flight details must be received in writing before 14.00 (UK time) on the Friday before arrival in the UK.
  2. To cancel or change an airport transfer you must inform us in writing 3 working days before the flight arrival or departure time or you will be charged for the transfer.
  3. A £25 supplement will be charged for an airport transfer service between 23.00-05.00. A supplement will also be charged for airport transfers on UK public holidays (and during the Christmas period) – please ask for prices.
  4. Waiting time of ½ hour is included in the transfer price. If you do not contact the driver within half an hour of the flight arrival time, the driver will leave the airport and any request for a further transfer will be charged at the full rate. Extra waiting time: £20 per ½ hour (transfer for 1-3 people) or £40 (transfer for 4-7 people). Waiting time starts from the scheduled time of arrival, unless the flight is early, in which case waiting time will start from the actual flight arrival time.

14. University Application Service

  1. The United College London’s University Application Service has been established in order to submit applications on applicant’s behalf for entry to Undergraduate courses, Postgraduate courses, Foundation courses, Diploma courses, and in general all the relevant courses provided by higher and further education institutions including but not limited to public and private Universities, colleges, institutions, etc.
  2. United College London submits up to five (5) applications for undergraduate and foundation courses subject to availability, or up to three (3) applications for postgraduate courses subject to availability, either through UCAS, UKPASS or directly to the universities/colleges/institutions. If a candidate requires more applications it can be arranged at an additional cost.
  3. In case where an applicant will not be offered a place to study at any of the chosen universities/colleges/institutions where the applications have been submitted, or will be offered an alternative or a completely different course even if it will not be at the same level as the originally requested course/courses then United College London holds no responsibility. It is the University’s/College’s/Institution’s decision on how to assess each student, and United College London holds no responsibility after the applications have been submitted. At any case fees paid to United College London are not refundable.
  4. In case where an applicant will receive a conditional or unconditional offer to study at any of the chosen universities/colleges/institutions then their terms and conditions are in force, and United College London holds no responsibility thereafter. For example United College London holds no responsibility in the event of variations to programme contents, entry requirements and methods of delivery, discontinuing, merging or combining programmes, both before and after a student’s admission to a University/college/institution, rejection of an applicant or student due to a University’s/college’s/institution’s decision, or if an applicant/student decides to withdraw for his/her own reasons, or for reasons relating to border control, convictions, arrests, health issues, force majeure etc.
  5. United College London may assist and submit on the applicant’s behalf the accommodation application but holds no responsibility about the accommodation provided by the University/college/institution or other accommodation providers including but not limited to the price per week they charge students with, the overall condition of the accommodation, the place of the accommodation, and in general everything that does not fit the student’s requirements. The price per week of the student’s accommodation plus any other accommodation charges if any, are payable directly to the accommodation provider according to their Terms and Conditions, and are not included in the United College London’s fees for the University Application Service.
  6. By completing the Application form the candidate agrees that United College London may act on behalf of the candidate using his personal details in order to communicate with any University/college/institution.
  7. United College London’s University Application Service fees may change without prior notification

15. Force Majeure

  1. United College London is not liable in the event of the college being unable to supply services to which it is contractually bound resulting from causes outside the school’s control such as, but not limited to, extreme weather conditions, natural disasters, labour disputes, government action, pandemics. Refunds will not be made in such circumstances.
  2. If a situation arises that has not been covered by these Terms, we reserve the right to take any fair and reasonable action that we think appropriate.
